CVCC
Board Meeting
July
18th,
2006
The
meeting was
held at Scotties Beef & Reef in
Mechanicsburg,
starting 7:00 PM.
Marlin called meeting to order.
M. Hurley discussed charity
committee. He
distributed the proposal from the committee regarding
recommendations for distribution of the monies.
The committee’s recommendation is to provide
different levels of contribution to a variety of charities.
The committee got very little input from club
members, so committee established charity priorities. The
proposal will be presented at a club meeting and voted on
for club approval. He
also showed a sample facsimile check which we may use to
make the presentations.
Discussion was held regarding making some of the
formal presentations and having newspaper coverage.
Marlin will look into presenting the
Chip Miller Foundation donation at Corvettes of Carlisle.
The Hurley's and K. Priestner have
met to put together a new member “welcome packet”.
This information will help new members feel they have
a place to go to get information about how our club works,
what different events are, and how to contact other members.
Packet will also include club directory.
Discussed developing an “Events
Sheet” in ACCESS database for every event the club holds.
This will be a simple form that can easily be
completed by whoever is hosting/chairing all events to
provide basic information to anyone interested.
This information will be distributed to the
newsletter editor, webmaster, and be available at club
meetings. It
will include necessary information such as location, time,
etc. but will also include tips for things to bring, places
to stop, etc. Google
group should also be used by all members to distribute
information.
Also discussed having “new member
meetings” prior to club meetings quarterly, starting at
7:00 at the Elks, to answer questions.
Mike and Karen will schedule these for the future.
All club members are encouraged to
help by reaching out to new members.
If you see a new member at an event, answer
questions, try to get them to help out, show them the ropes.
We are looking for a volunteer in
the club to do “new member spotlights”. This
would involve “interviewing” new members briefly for a
spotlight in the newsletter.
See K. Priestner if you would be willing to help with
this project, in order to help us get to know new members,
and make them feel welcome.
Marlin
thanked Mike, Darlene and Karen for all the work on this
project.
Policies and Procedures were
updated, for the first time in 7 years.
Karen provided copies to board members and discussion
was held regarding updates. Copies of updated Policies and Procedures will be available
on the website and at the next club meeting, as well as in
the new member packets.
Year End Awards:
Discussion held about awards for the upcoming year.
Board discussed possibility of offering award winners
a trophy or donating that money to one charity, chosen by
the board.
Gary absent- no treasurer report.
Governor’s report: Dave discussed Autocross
on July 23rd at Pharo’s.
This is an SCCA autocross which we host, as a
fundraiser for our club.
Autocross lots:
Board members discussed the possibility of looking
for additional locations to hold autocross events. Does
anyone in the club have any connections to a
company/industry lot whom we might be able to talk to?
CVCC has insurance coverage for liability through
NCCC. See a
board member if you have any leads. Many lots cost $500-$1000 per lot to rent, if we do not have
a connection.
Golf Outing: There has been a good
response so far. Working
on getting hole sponsors.
If anyone knows of any company who would like to
sponsor a hole. Cost
is $100. We
will get a sign printed up for the hole they sponsor, and
recognition on banners. Looks like we will make a nice profit on this event.
Dave distributed flyers to all East Region governors.
All profits will be donated to Spina Bifida.
Fall Cruise:
Keith reported on cruise to Huntington County
September 10th.
Cost is $20 per person.
Keith to send sign-up sheet around at next meeting.
Board meeting adjourned.
Respectfully submitted
Karen
